If you have several email accounts, each with their tasks, contacts, calendars, and notes then you know how hard it can be to keep up with all these accounts. That’s why you need to learn how you can integrate accounts within Microsoft Exchange Server.
Think about this situation: You are working for two companies namely A and B. Both companies each have their own Exchange Server leaving your contacts, folders, notes, and calendars separated into two accounts. How will you manage these two accounts?
You will need SyncGal to help you manage both of your accounts in the two companies. In this article, you will discover the 4 ways you can use to synchronize Exchange accounts between two companies.
- One-Way Migration
One way migration is the ideal method to use when you no longer want to use one of your accounts. This method is also ideal if you have two accounts but you rarely use one.
You can make this possible by using the rules wizard to set Your account A to forward all emails to your account B.
First, you will need to specify account A in two steps.
Step 1. In the rules wizard, you will see “select condition(s)”.Check the box “through the specified account.”
Step 2. You will see “ Edit the rule description(click an underlined value).” You will apply this rule after the message arrives through the specified account. This has to be done on the same computer.
Now you will need to indicate account B also in two steps.
Step 1. Still, in the rules wizard, you will see “select condition(s)”. Check the box “ forward it to people or public group.”
Step 2. you will see “Edit the rule description (click an underlined value)”. You will apply this rule after the message arrives through the account and forward it to people or public group. Again you have to be on the same computer to complete this.
Please note that you can only use this option for one-way synchronization of the inbox folder. Any other folders such as drafts and sent items cannot be synchronized using this method.
- Outlook Synchronization
For outlook 2010 and above, you can synchronize up to 10 Exchange accounts at the same time with one Outlook. That means you can access all your calendars, notes, tasks, emails, etc without signing in and out of your accounts like in the previous versions.
Unless you use the two accounts on the same domain, the account properties will still be separated. The idea is not to synchronize outlook but to have a closer look at the information on your exchange accounts. This means that you have to click through the individual accounts to view the tasks, contacts appointments, etc. Any external viewer who wants to check any of your information has to go through the same process too. While this is not so convenient, it is far much better than logging in and out of your accounts to check your information.
- Using Exchange ActiveSync to Synchronize on Mobile Devices
Exchange ActiveSync is an option used to synchronize contacts, tasks, emails, and calendars on mobile devices. This can only be done on your mobile device but not on the Exchange Server. What this means is that you will be able to keep track of things, but this will only work on your mobile device. You cannot use this option on Outlook online, Thunderbird, mail OS X, Hotmail, or on any Outlook desktop versions.
- Using CB Exchange Server Sync
While these options might work just fine for some people, some people would want to exercise full control of their accounts. If you are one of them, you can use CB Exchange Server Sync to synchronize your exchange accounts. CB Exchange Server Sync is a powerful tool that will enable you to do :
- Email synchronization
- Folder synchronization- Here your options are not limited to the inbox folders only. You can also sync drafts, sent items, sub-folders, and everything else you want.
- Calendars synchronization- this includes reminders, tags even for events that are recurring
- Contacts synchronization
- Tasks synchronization
- Notes synchronization
All you need to do is set up the CB Exchange Server Sync and define the sync pair. After that, everything else is automatic. If for example, you add a new appointment in your account A, the same appointment will appear in account B. The information about it will be identical in the two accounts even for the tiniest details like the category of that appointment. The best part is that this will happen for multiple Exchange accounts, servers, or domains and even in Exchange servers of different versions. CB Exchange Server Sync does not limit its synchronization in any way whatsoever.
Conclusion
For the smooth running of your business operations, you will need to synchronize your accounts. Now you know how you can do that. Use the option that works best for you.
